NUMBER: 16-6-1 APPROVED DATE: 03-27-2001

BASED ON POLICY NUMBER AND TITLE: SBTCE 3-2-105.1 GRADING SYSTEM AND STANDARDS OF STUDENT PROGRESS

Purpose: To explain Trident Technical College's course withdrawal process.

After the last day to drop for a term or course, a student may withdraw from a course and receive a grade of "W" through the date published in the academic calendar as the last date to withdraw.

  1. STUDENT RESPONSIBILITY
The student is responsible for initiating the process to withdraw from a course. Students who do not initiate a withdrawal by the last date to withdraw will be given a final grade by the course instructor.

  2. COURSE WITHDRAWAL
The student completes the course withdrawal process through Navigate. Students may also submit a course withdrawal from to the Registrar’s Office. Action must be taken by the last day to withdraw.

  3. FINANCIAL AID AND SCHOLARSHIP RECIPIENTS
Financial Aid recipients should discuss course withdrawal with the Financial Aid/Veterans Assistance office to determine if withdrawing from all courses will require repayment of any federal aid they received and/or affect their continued eligibility for federal financial aid. The federal government will not provide benefits for a course and may suspend financial aid to students who withdraw from the same courses more times than federal guidelines permit.

Scholarship recipients should discuss course withdrawal with a financial aid officer to determine if the reduction in credit hours will affect eligibility to receive further scholarship aid.

  4. POSTING OF W GRADE
The grade of "W" will be entered on the student's academic record and will be reflected on the student's official academic transcript. The grade of "W" does not affect the student's institutional GPA.

  5. REFUND POLICY
The Finance Department processes refunds for withdrawal according to the College's refund policy.

  6. COURSE SYLLABI
Faculty should publish the College's  Course Withdrawal procedure and the official last date to withdraw from a course in all course syllabi.

  7. LAST DATE OF ATTENDANCE
The Last Date of Attendance (LDA) is required for all students who withdraw from courses. Faculty will report course withdrawal LDA's through the use of workflows built into TTC's student record database.

  8. LATE COURSE WITHDRAWAL APPEAL
Students may submit an appeal for a late course withdrawal to the dean of their program if there was an extenuating circumstance that kept the them from meeting the published withdrawal deadline. An appeal for late course withdrawal will be considered only for circumstances that made it impossible to withdraw by the published last date to withdraw. The Appeal for a Late Withdrawal form is available in Etrieve. Appeals must be submitted no later than the end of the second semester following the semester when the instructor originally assigned the grade.
